Function and Organizational Relationships

The RC CCCM Officer will support Maram Foundation Reception Centers (RC) programming in Syria in the overall monitoring of the CCCM portfolio that focuses on improving the living conditions of displaced persons, by ensuring that populations are protected and have equitable access to services in the RC. He/she will support communications activities to ensure the project activities are implemented in line with the project goal, objective and work plans.

Main Duties and Responsibilities

  • Supports the RC Program Coordinator in following up and tracking the progress of the project activities to ensure field delays are forecasted.
  • Compile information on project progress from the field team for reporting purposes.
  • Work closely with the data entry and MEAL teams to maintain accurate and updated information on a daily basis.
  • Follow up on any construction and engineering activities in the field and provide technical support to the field staff whenever needed.
  • Support CCCM activities by coordinating tasks with Procurement, Logistics, HR teams.
  • Prepare and submit RC daily, weekly reports based on validated information from the field.
  • Represent CCCM Department in meetings, trainings and workshops whenever requested by line manager.
  • Other related tasks as assigned by line manager.

Qualifications

  • Education: Bachelor degree in Civil Engineering / Architecture or other studies related to the job description.
  • Years of Experiences: Total of two years of relevant experience, one of which must be NGO experience.
  • Computer Skills: AutoCAD skills, MS office specially Excel, advanced excel skill is required.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Experience working in humanitarian/ emergency and recovery projects.
  • Ability to collaborate effectively with staff and stakeholders.

Summary and Organization Relation
The Reporting Officer is fully responsible to ensure that all information and data from the field is captured, documented, analyzed and reported in a results-based and timely manner for donors and internal purposes. Additionally, the officer is to coordinate and collate the relevant information from the MEAL Department to provide the necessary findings to the stakeholder involved. The Reporting Officer is responsible to develop communication material on MF activities for external audience.

Main Duties and Responsibilities

  • Coordinate inputs to and draft reports related to project activities.
  • Develop appropriate reporting formats to meet all reporting requirements of the Project.
  • Work closely with the Project Team to support reporting functions.
    Coordinate the finalization of donor reporting.
  • Establish a reporting schedule and ensure the timely submission of reports as identified.
  • Provide quality assurance, including data verification, on all reports and information products produced by the project by editing and consolidating all reports prepared by the project.
  • Liaise with the team in the dissemination of reports and the accuracy of information included in visibility materials and publications;
    Draft briefing notes, talking points and other correspondence related to the project.
  • Produce and update information products such as maps, charts and info-graphics by turning data into graphical products to convey messages and a storyline as well as support strategic and operational decision-making
    Act as a focal point/central instrument for the collection, analysis and dissemination of information relevant to verification, monitoring and inspection activities.
  • Understand, document and ensure the quality of high-value data for accuracy, consistency and comparability.
  • Conduct other duties as required by the Project Manager.
  • Producing the project monthly, quarterly, and final reports for submission to the Project Management team in a timely manner.

Function and Organizational Relationships

The Program Coordinator (PC) reports to the Head of Programs (HOP). The PC coordinates and conducts project management roles for his/her respective sectoral team (CCCM, Emergency Response).   1. Coordinates the design, proposal development, implementation of projects between different project officers.
  2. Supports the development and reviews in coordination with the SPM the overall project work plans and budgets; provides guidance to the employees in their delivery of duties.
  3. Provides technical guidance and oversight to implemented projects.
  4. Lead the technical coordination between Head of Programs and projects to ensure implementation in a systematic and timely manner, to follow work plan targets, achieve technical requirements and complete deliverables in accordance with subproject agreements and budgets.

Procurement & Logistics Support Officer

 The Procurement and Logistics Support Officer (PLSO) is responsible for supporting the Procurement Officer and Logistics Officer in all duties. The PLSO reports directly to the HOP. Main Duties and Responsibilities

  1. Participate in field-level planning formulation in the area of logistics. Participate in program planning and advising on logistics considerations;
  2. Provide technical and operational support to the Head of Programs and Program Coordinators and their teams, as well as advise on application of logistics management best practices, systems and procedures. Take initiative in management improvement for the logistic functions;
  3. Assess existing logistics operations systems and advise on corrective measures to be undertaken;
  4. Ensure the implementation, monitoring and evaluation of new initiatives and procedures related to logistics;
  5. Design, implement and manage contracts in forwarding, transport and warehousing, where necessary;
  6. Responsible for efficient purchasing of inventory, supplies and capital equipment for the Foundation.  Receives purchase requisitions and verifies for accuracy and authorization(s).  Sources new vendors when necessary;
  7. Prepares and issues purchase orders; determines and negotiates prices, delivery and credit terms; buys according to established company policies and procedures; maintains accurate purchasing records;
  8. Responsible for evaluating, assessing and selecting vendors based on capabilities, performance and consistent quality assurance.  Maintains rapport and good working relationships with vendors; keeps accurate vendor records;
  9. Evaluates inventory reorder levels and quantity price breaks to determine most economical purchasing of inventory and supplies in relationship to Foundation’s cost of capital.  Prepares monthly reports and reviews forecast of purchasing commitments with Deputy CEO;  
  10. Expedites purchase orders as necessary and ensures delivery of purchased items for uninterrupted project/program implementation flow;
  11. Performs other purchasing or inventory control duties as necessary or as requested;
  12. Performs other related duties as assigned.

 Qualifications

  • Minimum Bachelor’s degree in logistics management, economy, accounting, Business Administration or any other related area;
  • At least three years of relevant experience;
  • Previous experience in relief and development preferably in an international organization;

  • Strong local credentials in the given area inside Syria;
